Organisation Background

Founded in 2011, the International NGO Safety Organisation (INSO) supports humanitarian aid workers by establishing safety coordination platforms in insecure contexts. INSO provides registered NGOs with a range of free services, including real-time incident tracking, analytical reports, safety-related data and mapping, crisis management support, staff orientations, and training.

INSO provides daily support to more than 1200 NGOs operating in 18 of the world’s most insecure countries.

INSO is registered in the Netherlands and has its headquarters in The Hague, the international city of peace and justice.

INSO Ukraine

INSO Ukraine opened in 2015. Since the full-scale Russian invasion in February 2022, it has rapidly expanded to a complete platform serving the needs of NGOs in a fast-evolving conflict. Currently, more than 380 national and international NGOs receive INSO services, in both Ukrainian and English, including information, analysis, and advice through a wide range of written products, meetings and briefings, tailored assessments, crisis support, and a broad range of training courses. Our country office is in Kyiv, supported by field offices in Dnipro and Odesa.

The scale and intensity of the conflict in Ukraine continue to pose significant humanitarian safety challenges, particularly around heavily contested frontline areas where the humanitarian footprint has expanded since 2023. As part of INSO Ukraine, you will play a key role in supporting NGOs and helping aid reach people in need more safely while at the same time being part of a vibrant and growing humanitarian community that brings together experiences from across the globe.

INSO is now seeking one experienced professional to join our team as Training Assistant in our Dnipro-based Mobile Training Team, who delivers sessions in Dnipro and throughout Ukraine, focused on humanitarian safety, including First Aid, Personal Safety, and Security Management.

Job Summary

The Training Assistant contributes to the planning, organisation, delivery, and evaluation of training courses supporting NGOs in safety, crisis management, personal risk mitigation, and humanitarian access. The role combines strong administrative skills with logistics and procurement experience.

The ideal candidate will above all else share INSO’s commitment to humanitarian principles.

MAIN DUTIES AND RESPONSIBILITIES

Administrative management of the department and training sessions

  • Ensure internal and external communication (email, phone) of the Training Team on all issues related to the administration of training sessions.
  • Prepare the training calendar and manage invites using MS Forms.
  • Follow up on registrations (communicate with participants and organise digital information).
  • Contribute to assessment and development activities as appropriate.
  • Perform other tasks as required.

Logistics and training implementation

  • Manage training logistics, including procurement, stock control, and liaising with suppliers and service providers
  • Assist trainers in the set up, delivery, and break down of training sessions as appropriate.
  • Contribute to the development of visuals / PowerPoint under the supervision of trainers.
  • Drive INSO vehicles during training simulations and while on field missions.

Quality monitoring of training

  • Participate in the collection of information from INSO partners on the quality and impact of training (correction and compilation of pre-and post-tests, implementation, and processing of the online survey after each training, collection of testimonials from participants).
  • Contribute to the draft reports in English.

PERSON SPECIFICATION

Knowledge, Skills, and Experience

Essential:

  • Fluency in Ukrainian and English (written and spoken).
  • At least 3 years of professional experience in a role requiring organization, communicating with clients or beneficiaries, event planning, or coordination.
  • Strong administrative experience, preferably within the NGO sector
  • Experience in communicating with clients or beneficiaries in a client-oriented fashion.
  • Experience in coordinating among a large number of people.
  • Graduate-level education in a relevant field or equivalent work experience.
  • Excellent computer skills: Microsoft Office, including PowerPoint and Excel.
  • Strong commitment to humanitarian principles and values.
  • Ability to excel in a multicultural work environment.
  • Willingness to travel within Ukraine as required.

Nice to Have:

  • Valid driving license.
  • Experience in the NGO sector.
  • Experience in facilitating or organizing training courses.

Terms & Conditions

Official Employment Contract with a 3-month probationary period with an expected starting date of 14 September 2026, UAH 68,060 gross salary, 13th Salary, 2 days annual leave per month and medical insurance.

INSO unfortunately does not provide military reservation (бронювання).
